Building rules and regulations Trade Mart participants

  • Maximum height: 2.0m, apart from a number of locations near the outer walls of the Beatrixgebouw, where the maximum height is 2.75m (always take into account that the minimum distance between the sprinkler heads and the highest point of your stand has to be 50cm).
  • Ceiling: Max. 30% of the entire surface area may be closed off. The sprinkler installation should never be blocked.
  • Materials used: All material has to be fire-retardant and impregnated.
  • Closures/shutters: Min. 30% permeable to air.
  • Stand construction: The stand has to be self-supporting. This means that it is not permitted to secure the stand to the floors, pillars and pipes of the Beatrixgebouw of Jaarbeurs Utrecht.
  • Open character stand: Min. 50% of the length for access to the stand needs to have the form of an entrance. Stand construction drawings will be assessed on stand transparency by Trade Mart Utrecht. If the entrance occupies less than 50% of the wall length, 50% of the wall length not used as an entrance needs to be constructed out of glass or another transparent material.
  • Stand drawing: Before starting the build, you have to submit a stand drawing to your account manager for approval, stating the exact dimensions of your stand and a clear depiction of the ceiling layout. This drawing has to be submitted 4 weeks before the start of the build.
  • Utilities (electricity/water) can be ordered by filling in the application form and submitting it to Customer Support in a timely manner (030-295 59 99). You can request the form here. If you have any questions, you can contact Customer Support.
  • All electrical connections have to be inspected and approved by a qualified fitter before commissioning, based on the 4.1C Inspection Form (Controlerapport). On request, this form also has to be presented to the inspector of technical installations of Jaarbeurs.
  • Stand builders: Make sure you provide your stand builders with the proper entrance passes for Trade Mart Utrecht. Without entrance passes, your stand builder will not have access to your floor.
  • Work outside office hours: We offer you an extra opportunity to work on your stand after xxxx on weekdays and during the weekend. Make sure you apply for an Out-of-hours permit by contacting Customer Service by telephone (030-295 59 99) or email to service@jaarbeurs.nl.
  • Light and ventilation: During trade show days, the lighting at Trade Mart Utrecht will be on at maximum capacity. Outside of the trade show days, the lighting will be on at 33% capacity during office hours (8.00am-6.00pm). Outside these hours, the lights on the Trade Mart Utrecht trade show floor are turned off. Any exhibitors wishing to work on their stand, either do to building or other work, need to provide their own lighting. During the trade show days and additional purchasing days, the ventilation will be on between 8.00am and 7.00pm. Outside trade show days, the ventilation is turned off, and the default temperature in the building will be set at approx. 16 °C.

  • You are responsible for the disposal of any waste produced during the set-up of your stand. If you wish to rent a waste container, please contact Customer Support on tel. 030-295 59 99.
  • If you need to bring in or remove materials during any building work, you can make use of the entrance at the Beatrixgebouw Porter’s lodge (Mineurslaan). On presentation of your entrance pass, the staff at the Porter’s lodge will give you an Elevator pass for Elevator 5, to transport materials to your stand. On busy days, additional freight elevators will be used.
  • No building work: As the trade show days have a commercial objective, it is not permitted to do any building work or carry out any other activities apart from commercial activities on those days. From 1 week before a trade show day, building, drilling, sanding and other work that can cause dust, is not longer permitted.
  • Keep Trade Mart clean. During set-up, please make sure the flooring and other facilities offered by Trade Mart Utrecht are kept as clean and tidy as possible. For instance, cover the floors in the aisles when painting, clean up washrooms after use and do not leave food waste or other rubbish in the aisles. If we all take our responsibility, the floors will look neat and tidy during the trade show days.
  • Mice: Wherever there are lots of people, the mice eventually follow. For that reason, it is very important to not keep any edible products and waste in your stand during the trade show days.
